Clive Collective · Hospitality

A hospitality group,
working as one.

Websites, booking, guest relationships and follow-up—brought together around the way the business operates.

The work, across the group

Seven websites. One connected direction.

Clive Collective brings together distinct hospitality brands, each with its own identity and guest experience. Behind those brands, the work needs to connect: turning interest into an inquiry, helping a team arrange a large-party booking, and carrying the right context into the next conversation.

We’re rebuilding that digital operation around a unified platform. The engagement spans venue websites, custom booking software, interactive lead generation, customer data and AI-assisted follow-up.

Five days to stand it up. Two weeks to get it right.

Within five days of signing up, the CRM, the data beneath it, the booking app and seven websites were built and running in preview. Standing it up is the fast part. The next two weeks go to making it right.

How the build went
  1. Day 1The CRM, with every venue’s historyHundreds of thousands of records from their existing systems brought into Clive’s own database, then structured into contacts, deals and conversations, tagged by venue with their original dates, in one events pipeline for every venue.
  2. Day 2The booking appOccasion, date, package, agreement and payment in one flow, plus past event documents, notes and payments added to the record.
  3. Day 3One guest across every venueGuest records from every system matched into one profile per person, and the first venue website rebuilt.
  4. Days 4–5Seven websites, one systemNew home pages for every venue and a new Clive Collective site, most of them already running on one shared system.
  5. Weeks 2–3Fine-tuning, quality and securityTesting, tuning and a security review of every piece before anything goes live. Every new build has a few bugs; this is when we find them, before the guests do.

Rebuilt to increase conversion.

A venue should feel like itself online. Its atmosphere, food, events and audience deserve more than the same template with a different logo.

Across six venue websites and the Clive Collective group site, we redesigned the path from interest to action: clearer calls to action, booking and inquiry buttons where guests make decisions, and more direct routes into the right experience. Every layout serves a commercial goal—turn more of the existing traffic into reservations, event inquiries and bookings.

Make the next step easier for guests—and staff.

Large-party bookings involve more than choosing a date. Guests need a straightforward way to explain what they have in mind; the team needs enough context to take the conversation forward.

We built a custom booking application with integrated payments and upsell features, bringing the booking details, relevant extras and payment into a streamlined checkout. It turns a complicated booking process into a simpler path for guests, while giving the venue team the information it needs to deliver the experience.

Give the team a fuller picture.

The data work brings scattered records into a more useful customer view: organizing information, improving consistency and connecting relevant inquiry and booking history.

The platform direction pairs focused views for individual venues with a group-wide view for the people responsible for the broader operation. The aim is practical: less searching across tools, less repeated data entry and more context when a guest gets in touch.

Customer preferences and permissions are part of that design. A shared view does not mean every person should see every record, or that a guest can be contacted through every channel.

Keep the software that earns its place.

Clive continues to use OpenTable and Toast. Integration work connects the new platform with those existing systems, keeping the software the team relies on in the operation.

The approach is to replace overlapping tools where custom software makes sense and connect the systems that still serve the business. A unified platform should make those tools work together, with less manual work between them.

Connect the conversation, not just the form.

The broader delivery scope includes telephone and SMS workflows, alongside AI-assisted follow-up tied to relevant customer actions. The intention is to help the team respond with context, keep inquiries moving and involve a person when judgment is needed.

The next phase extends that connected foundation into more agent-assisted work, supported by quality checks and controlled releases. The value comes from the whole journey working together—from initial interest to the next useful conversation.

Use the data to improve the journey.

We used the available customer, inquiry and booking data to guide decisions for each brand: which experiences to emphasize, how to organize content and where to make the next step clearer.

Increasing conversion is a central goal of the rebuild. We use each brand’s data to focus the work on the moments that matter: finding the right venue, understanding an event offering and taking the next step. Clearer layouts, better-placed calls to action and simpler booking flows give that work a concrete direction. The connected data foundation gives the team a way to measure where guests progress, where they drop off and what to improve next.

Find more ways for the experience to earn.

The booking application includes upsell features that make relevant packages and extras part of the guest’s booking journey. Integrated payments connect those choices to checkout, giving each venue another way to earn from the experience it already offers.

The broader program connects that checkout with messaging and follow-up, so the guest journey continues beyond the transaction. Interactive lead-generation experiences and opportunities for repeat visits extend the work from capturing interest to building an ongoing customer relationship.

An agentic operating system for the group.

The direction is an agentic operating system: a CRM and shared operational workspace connecting customer context, booking activity, communication and the next action a team member or agent needs to take.

Management dashboards are part of that scope, giving the team visibility into workflow activity, exceptions and performance, with ways to review and adjust how the operation runs. The purpose is to keep automation observable and manageable as the platform develops.

Replace the subscription pileup.

Part of the program is identifying where custom software can replace overlapping subscriptions and reduce the manual work between them. The goal is fewer disconnected tools and a platform that fits how Clive operates across its brands.

Own the data.

Every guest, booking and conversation lives in Clive’s own database, under Clive’s control, instead of being split across vendors that each hold a piece. The group decides who sees what, where it goes and how long it stays.

See everything.

Full observability is built in. Every automation, message and agent action is logged, so the team can see what happened, when and why, catch exceptions as they occur and measure what each workflow is worth.

That is the larger story: a connected digital operation that preserves each venue’s identity while giving the group a stronger foundation for what it builds next.
